Educational Travel Programs Policies, Terms, and Conditions

These are general terms and conditions for our travel programs. Exact terms and conditions for each trip are available upon request from the individual tour operators with whom we collaborate on these programs.

Who May Attend

Our Educational Travel Programs are designed for CTY students and their parents/guardians. Siblings, other relatives, and friends may attend if they are registered and parents are comfortable about their ability to join in activities. At least one parent or legal guardian must register and participate in program activities. All travelers should be in good health and comfortable with a rigorous schedule of walking, climbing stairs, and/or hiking. Enrollment is limited, and CTY families will be accepted in the order deposits are received.

Health

Please report any health condition or impairment that may require special medical accommodation in writing when making your reservation so CTY and the tour operators with whom we work can determine whether we will be able to make the requested accommodations.

Reservation and Confirmation Process

For a travel program to run, the required minimum number of participants must be signed up and paid in full. Families should not purchase non-refundable airline tickets before receiving confirmation that the program will run.

  • A non-refundable deposit of $500 per person is required to reserve space in the program. Visa, MasterCard, check, or money order are accepted.
     
  • When CTY has received the required minimum number of reservations, families will be invoiced for the balance of the program cost, and full payment is due to CTY two weeks from invoice date. Invoices usually are sent no later than 90 days before the program start date. At this point, the program is not yet confirmed!
     
  • Once all invoices have been paid in full, families will be sent confirmation that the program will run. Families may then proceed with their travel arrangements. 
 

Cancellation Policy

To cancel their participation in a program, families must notify CTY Family Academic Programs by writing to ctyfam@jhu.edu. CTY reserves the right to treat as canceled any reservation for which full payment is not received by the due date.

The $500 per person deposit is non-refundable regardless of cancellation date.
 
Families who cancel after the program is confirmed forfeit 100% of the program fee.
 
If CTY cancels a program, 100% of fees paid will be refunded to families.
 
No partial refunds will be given for unused meals, hotel rooms, airport transfers, etc., for any reason whatsoever.

Travel Insurance

We strongly recommend that participants purchase trip-cancellation insurance and baggage insurance. In the event you must cancel your participation, trip-cancellation insurance may be the only source of recovering your program fees and travel expenses. Be sure that you fully understand the policy coverage and exclusions when selecting a travel insurance product.

Liability

All registered participants are required to sign a liability release during the registration process. The specific terms and conditions of that liability release are available in the Family Academic Programs application materials. Among other things, upon signing the liability release, participants acknowledge that participation in CTY Family Academic Programs can result in physical injury, accident, illness, death, loss of personal property, or other contingencies which may befall participants while being involved with the program.

Photography

All registered participants agree and acknowledge that CTY may take photographs at their programs and reproduce them in CTY’s print and online educational, news, or promotional material. By participating in CTY programs, participants grant CTY the right to use their photographs, unless written notice is given otherwise. No compensation is provided for CTY’s use of photographs featuring participants. All images are the property of CTY.
